Google has been steadily integrating Gemini across Google Workspace, embedding AI into Docs, Gmail, Sheets, Slides, Drive, and Meet. With so many updates rolling out, the real question is not what Gemini can do, but what is actually useful in day-to-day work. The best Gemini features are arguably the more practical tools that help you manage information faster, such as summarizing, drafting content, organizing data, and tracking meetings.
In Google Docs, Gemini excels at automatic summarization. Instead of digging through a long report, you can ask Gemini for the key points or a quick outline. This is a time-saver when reviewing documents or explaining information to a colleague. There is also a new tool called Help me create. You can describe what you want, like a newsletter or a report, and Gemini will pull in context from your Drive, Gmail, and Chat to generate a strong first draft. Other useful tools include Help me write, which can clean up your wording or expand on ideas, and Match writing style, which helps maintain a consistent tone when multiple people contribute to a document. There is even a Match the format feature that lets you copy the structure of another document, which is handy when working from a template. These features are currently still in beta.
Gemini in Gmail is particularly useful for managing an overflowing inbox. The AI Inbox feature filters out non-important messages and highlights the emails that matter, like reminders for appointments. Gemini also summarizes long email threads, so you do not have to scroll through dozens of messages to understand the conversation. You get the key points in a summary card right at the top of the email. The Help me write feature can generate replies based on the context of the conversation, allowing you to adjust the tone to be more formal or concise. There is also an AI Overview feature that lets you ask Gemini a question, such as who a specific plumber was, and the AI will search through your emails to find the answer.
In Google Sheets, Gemini can transform information with a single prompt. It can grab relevant data from Gmail, Chat, and Drive and turn it into a fully structured spreadsheet. It also helps visualize data by generating charts and graphs. The Fill with Gemini feature speeds up populating tables, which is useful when starting from raw or incomplete data.
For creating slides in Google Slides, Gemini’s strength is in formatting, which removes a lot of repetitive work. It is especially useful for internal presentations or when you need a solid first draft quickly. You can give it a prompt to create a deck summarizing results, and it will build a presentation that matches your theme, pulls in relevant content, and organizes it into slides with bullet points and visuals. You can then ask it to simplify slides, adjust formatting, or match a specific design style. There is also a refine text feature to shorten paragraphs or rephrase sentences. A bonus tool allows you to tweak images in Slides using Google’s image editing model.
The standout Gemini feature in Google Meet is automatic note-taking. Instead of trying to listen and write simultaneously, you can let Gemini capture the key points, decisions, and action items. After the meeting, everything is organized and ready to share. Gemini also helps if you join late by providing a quick summary of what you missed. Other practical upgrades include real-time translated captions, improvements to video, and the ability to reduce audio distortion to make meetings easier to follow.
Gemini in Google Drive allows you to quickly search for files, summarize a marketing plan, pull specific targets from a document, or draft updates based on the latest files in your workspace. It can generate an AI Overview of the most relevant information across your documents, complete with sources, so you do not have to open multiple files to find one detail. With a new beta tool called Ask Gemini in Drive, you can now ask complex questions across your calendar, documents, emails, and the web.
In Google Calendar, a standout AI-powered feature is Help me schedule. Instead of manually scanning availability, you can describe what you need, and Gemini will suggest the best times based on everyone’s calendars. It can even take preferences into account, such as avoiding early mornings. Gemini connects to your Gmail to detect available time slots. It also helps with event creation from a simple prompt and improves rescheduling by suggesting alternative times that minimize conflicts for larger groups.
In Google Chat, you can ask Gemini to summarize a space, highlight key decisions, or pull out action items instead of scrolling through long threads. This is helpful in active team channels where important details get buried. Gemini can also draft replies based on the context of the conversation and learns from your past chats to bring up key details. Another useful feature is its ability to connect chats with files, allowing you to ask questions about shared documents without opening them.
Gemini in Google Vids helps generate polished video content. Instead of starting from scratch, you can prompt Gemini to generate a rough cut based on a topic or outline. It can suggest scenes, structure your narrative, and draft scripts automatically. Gemini can also handle voiceovers by generating script variations and adjusting the tone. With transcript trimming, it identifies filler words and awkward pauses to remove from recordings. There is also the ability to convert an image to video and to use an AI-powered avatar as the star of a video based on an input script.
Gemini in Google Forms lets you describe what you want, such as a survey, and generate a complete form with relevant questions and structure. It helps refine questions by suggesting clearer wording, better answer formats, and identifying gaps that might lead to incomplete responses. This is useful for gathering actionable data. Gemini can also summarize results as they come in, highlighting trends and key takeaways immediately within Forms without requiring you to dig through raw data elsewhere.
